External vs Integrated: What’s the Difference?

Cash is easy to handle, but nowadays everyone pays with plastic. We offer two different ways of processing cards. Hopefully this can help you decide which method is best for you and your company!

The first, and our favorite, is integrated payments. If your merchant provider can integrate with ERPLY, our system can capture and record card data ranging from what kind of card was swiped to the cardholders name. Don’t worry! All sensitive information is still locked away behind your merchant providers method of protection.

Is your merchant provider not listed as an option? You can still use them to process transactions! Our second option is external card processing. External card processors are not integrated. This means that all of the card data will be processed outside of ERPLY. When choosing external card payments, the only data gathered by the Point of Sale is that which is put in manually. In order to search credit card sales and information, you will need to access your merchant providers website. Below is our step by step process for both integrated and non-integrated payments.

What is the process of Integrated Payments?

  1. Upon choosing “Pay by Card,” EPRLY will send send over the sales information to the credit card terminal.
  2. The customer will swipe or insert their card in the card reader.
  3. The card reader will send the information gathered from the card to the merchant processor. This information is encrypted and not accessed by ERPLY.
  4. The Merchant Processor will send back if the card is accepted or declined.
  5. If accepted, the transaction will process and notify ERPLY upon completion.
  6. ERPLY will then print out a receipt.
  7. If declined, the credit card terminal will notify ERPLY not to complete the sale, and another payment method is required.

What payment data is logged in ERPLY for Integrated Payments?

  • Last 4 digits of Card Number
  • Card Type (VISA, AMEX, MC, etc)
  • Cardholder (Name on card)
  • Approval Code (Match transaction in ERPLY to Processor)
  • Reference Number (Match transaction in ERPLY to Processor)

What is the process of Non-Integrated (standalone/external) Payments?

External Payments mean that ERPLY is only logging the fact that a sale took place and it was paid via card. The entire card payment process is handled by the credit card terminal and the merchant processor outside of ERPLY.

  1. Upon choosing “Pay by Card,” ERPLY hands over the entire payment process to the credit card terminal and prints out a receipt.
  2. The customer will swipe or insert their card in the card reader.
  3. The card reader will send the information gathered from the card to the merchant processor.
  4. The Merchant Processor will send back if the card is accepted or declined.
  5. If accepted, the credit card terminal will continue with the process and, if available on the hardware, print out a receipt.
  6. If declined, the credit card terminal will notify the customer to swipe again or use a different card.

Note: If using an external payment method, it is recommended that the option “Require card type on external device” is checked. By using this option, an additional step is put in place for confirming external card sales, and data can be logged in ERPLY.

What payment data is logged in ERPLY for Integrated Payments?

By default, no card information is logged when using external payments. ERPLY is only logging that a sale took place and the payment type was the card.

  • Sale took place
  • Payment type (Card)
  • Card Type (Must toggle “Require card type on external device” for this to be logged. Manual entry required.)
  • Authorization Code (Must toggle “Require card type on external device” for this to be logged. Manual entry required.)
